Job Description
Our boutique architecture firm is looking for a receptionist/admin to join our team. The ideal candidate is a social and creative person who will assist in creating a fun, innovative workplace. From our office in the heart of Gastown, close to Skytrain and public transit, we offer a competitive salary and benefit plan, company-paid social functions, room to grow and develop your skills, and you can also bring your dog.
POSITION OVERVIEW
Our office administrator supports our 25+ staff and helps make the office fun! This individual needs to be an enthusiastic team player who contributes to our professional and social work environment. This position requires in-office attendance; 7.5 hour per day (9 am – 5 pm with 30-minute lunch break), Monday-Friday.
Required Skills
RESPONSIBILITIES
- Answer phone calls and redirect them appropriately.
- Undertake receptionist duties; greeting visitors, receiving/dispatching couriers, sorting packages and mail.
- Prepare and disseminate correspondence, memos and forms; typing, copying, scanning, etc.
- File and update contact information of clients, suppliers, and consultants.
- Support the Principals with typing and layout of architectural reports, marketing materials and simple accounting tasks.
- Assist with the preparation of client contracts, as directed by the Principal.
- Check frequently the levels of office and kitchen supplies and order appropriately to keep our team running efficiently.
- Assist with organizing event including client appreciation, holiday parties, lunch & learn seminars, charity fundraisers, and Friday socials.
- Assist Marketing activities as needed.
- Liaise with subconsultants and assemble proposals.
REQUIREMENTS

- 5+ years of work experience in an office environment.
- Excellent command of the English language.
- High multi-tasking and time management capability.
- Integrity, reliability and professionalism; confidentiality and punctuality are very important in this position.
- Ability to work independently with minimal supervision.
- Proficiency in MS Office (Word, Excel, Outlook, Adobe Acrobat Pro, and Microsoft Teams.
- Experience with data entry, accounting, invoicing, Accounts Receivable /Accounts Payable, and PowerPoint are assets.
- Graphic design an asset (InDesign or similar).
- Experience with LinkedIn, Instagram and other online platforms are an asset.
Job Types: Full-time, Permanent
Benefits: Extended health care
Salary Range: $40,000-$70,000 (depending on experience)
